Job description

We are working with a leading B2B organisation who have an immediate requirement for an experienced Executive Assistant on a short-term contact.

As an Executive Administrative Assistant, you will report directly to the VP of Sales, UK & Ireland. The successful candidate must be able to function independently with minimal supervision and direction. You will have a strong attention to detail, be comfortable handling multiple tasks and produce high quality work under limited time constraints.

Key Responsibilities:
-Organise and prioritise large volumes of information
-Proactively read, sort, distribute, respond to incoming emails. Drafts written responses or replies by phone or email when necessary. Responds to regularly occurring requests for information
-Scheduling meetings (primarily with high level executives, internal/external partners)
-Maintaining and organising calendars
-Making travel arrangements, including international travel
-Coordinating and working on department and company activities such as quarterly kick off meetings, Leadership offsites and events when execs over from the US.
-Preparing presentations, owning agendas for key critical meetings. Such tasks may include assembling highly confidential and sensitive information
-Preparing general and travel expenses
-Works independently and within a team on special nonrecurring and ongoing projects which may include planning and coordinating multiple presentations, and disseminating information
-Types, prints and proofreads general correspondences, memos, charts, tables, contracts, business plans, etc. Responsible for accuracy and clarity of final copy

Essential Skills and Experience:
-7+ years of administrative experience
-Proficient in Microsoft Word, Excel, PowerPoint and Exchange preferred
-High energy, results oriented and driven
-Ability to react quickly to unforeseen challenges, schedule changes, etc.
-Diligent, conscientious and reliable
-High level of dependability, initiative and motivation
-Experience working for a publicly traded company strongly preferred
-Prioritise effectively, multi-task and work independently
-Ability to work with teams developing strategies and action plans, and with share results
-Strong organizational, written/oral communication and interpersonal skills
-Comfort interacting with potential clients on the telephone and over email
